Privacy & Data Sharing Policy

What we collect

We collect the information you provide and data generated while using LoadOffice:

• Account information: name, email, company/organization name, role, and password.
• Business data: trucks, drivers, carriers, shippers, loads, stops, rates, invoices, settlements, documents, and e-signature packets.
• Payment information: billing details and subscription status handled by Stripe. We do not store full credit card numbers.
• Location/routing data: addresses, geocoded coordinates, route mileage, and per-state mileage breakdowns when you use mapping features.
• Communications: email delivery, support requests, and onboarding emails.
• Affiliate/referral data: when you visit with a ?ref= link, we store the referral code in your browser for up to 90 days to credit the affiliate.

How we use your data

We use your data to operate LoadOffice, process payments, send transactional emails, calculate routes and mileage, generate invoices and settlements, and provide customer support.

What happens to your data

When you enter information into LoadOffice, it is routed to the systems that power the feature you are using:

• Business records — loads, trucks, drivers, carriers, shippers, stops, rates, invoices, settlements, and account details are stored in the LoadOffice backend database.
• Uploaded files — rate confirmations, BOLs, signed packets, onboarding documents, and other attachments are stored in backend object storage.
• Payments — billing details and card information are sent directly to Stripe. LoadOffice does not store full credit card numbers.
• Addresses and routes — pickup/delivery addresses and route requests are sent to Google Maps Platform for autocomplete, geocoding, routing, and mileage calculations.
• Emails — transactional and notification emails are sent through the project's email infrastructure.

Who we share data with

We do not sell, rent, or share your data with third parties for marketing or advertising. We only share data with the service providers necessary to run LoadOffice:

• Stripe — payment processing and subscription management.
• Google Maps Platform — address autocomplete, geocoding, routing, and mileage calculations.
• Lovable Cloud / Supabase — hosting, database, authentication, file storage, and email delivery infrastructure.

Data retention

We keep your account and business data for 6 months after account closure, then delete it. Some data may remain longer if required by law or for legitimate business needs such as tax or billing records.

Your rights

You can request a copy of your data or ask us to delete it by emailing hello@myloadoffice.com. We will respond within 30 days.

Security

LoadOffice uses row-level security, role-based access, encrypted connections, and private document storage so each user only sees data they are authorized to access.

Changes to this policy

We may update this policy as LoadOffice changes. The latest version will always be available at myloadoffice.com/privacy.
